What counts as a booking

A booking represents a trip a customer has actually committed to — created either directly with "Add Booking", or by converting an enquiry or an accepted quotation (see Managing enquiries and Sending, revising and converting a quotation).

Total and Paid are shown as separate columns, so what’s still outstanding is visible without opening the booking.

What each column means

  • Total — the full agreed price of the booking.
  • Paid — how much of that total has actually been received so far.
  • Status — Confirmed or Cancelled. A cancelled booking is kept in the list for record-keeping rather than deleted.

The gap between Total and Paid across every confirmed booking is exactly the "Outstanding" figure shown on the Reports page — see Reading your booking and revenue report.

Each booking row has its own Invoice PDF button — a confirmation document you can hand to the customer, separate from the quotation PDF that may have led to it.

Recording a booking directly

Click "Add Booking" when a customer books outside the enquiry/quotation flow entirely — a phone call or a walk-in, say. The form covers the customer’s name and mobile number, an optional email, the package (or "Custom / none" for a trip that isn’t in your catalog), the travel date, traveller counts, and the total amount alongside whatever has already been paid.

Exporting your booking list

The Bookings list also has its own "Export CSV" button next to the status filter, same as Categories, Destinations and Packages.
