Building a quotation: the 6-step wizard, explained

Trip basics, pricing, itinerary, inclusions, terms and a final review — every client quote goes through the same guided six steps.

Click "Add Quotation" from the Quotations list to start the wizard. Optionally pick an existing package first — doing so prefills the itinerary, inclusions and pricing from that package, so you only edit what is different for this particular client, instead of starting from a blank quote.

01 — Trip basics

The fields every quote starts with: trip title, who it is for (name, email and WhatsApp are all optional but default the "Send" step later), traveller counts split into adults, children and infants, and both travel dates.

02 — Pricing

Costing lines grouped into sections, each with a quantity, unit label and unit price. Add a discount, a tax percentage and rounding if needed — the subtotal, taxable amount and total payable shown on the right are computed on the server, not typed in by hand, so they can never drift from the line items above them.

03 — Itinerary

A day-by-day plan, identical in spirit to a package’s itinerary tab. At least one day is required — a quote is meant to read like a real trip plan, not just a price list.

04 — Inclusions

One list, not two — each line is marked Included or Not included from its own dropdown, so you can freely reorder what is and isn’t covered without moving items between separate lists.

05 — Terms

Cancellation policy and terms text, prefilled from your Quotation Settings defaults and editable per quote — override it here for a client-specific exception without touching your account-wide defaults. "Prepared by" name and title default the same way, and can be overridden per quote too.

06 — Review

A final read-through before anything goes out: trip basics, the full costing table, and the day-by-day itinerary, all on one screen. Catch a typo or a missing day here, before the client sees it.

Saving from Review creates the quotation as a Draft. It is not sent to anyone yet, and every step stays editable until you actually send it — see Sending, revising and converting a quotation for what happens after.
