Quotation settings: GST, numbering, terms and WhatsApp setup

Set your GST/IATA numbers, quote-number prefix, default validity and terms once, then connect WhatsApp so quotations send as a document from the panel.

Quotations → Settings holds two separate things on one page: the account-wide defaults every new quotation starts from, and the connection details that let "Send by WhatsApp" actually work. Both are one-time setup — after that, every quote just inherits them.

Quotation defaults

  • Header identity — your website, GST number and IATA number, printed on every quotation PDF. (Logo and address come from Company Profile, not from here.)
  • Quote-number prefix and default validity window (how many days a quote stays valid) and default currency.
  • Default "prepared by" details — the consultant name, title, phone and email shown on the PDF, editable per quote when a different person is handling a particular client.
  • Default cancellation policy and terms text, plus payment notes and a footer note.
Document text (cancellation policy, terms, payment notes, footer) continues below — every field here is prefilled into new quotations but stays editable per quote.

Connecting WhatsApp

The same page has a WhatsApp Business section (jump straight to it from the "Go to WhatsApp settings" link in any quotation’s Send dialog). This connects your own WhatsApp Business API number so quotation PDFs can be sent as a document, not just by email.

  1. Enter your Phone Number ID and WhatsApp Business Account ID from Meta Business Manager.
  2. Enter your Access Token — this is stored encrypted and never shown again once saved.
  3. Enter the name of a message template you have already created and submitted for approval in Meta Business Manager.
  4. Click "Test connection" to confirm the credentials actually work, without sending a real message.
  5. Click "Check status" to sync whether Meta has approved your template yet.
The template itself has to be created and submitted in Meta Business Manager directly — this page only checks and displays its approval status (pending, approved, or rejected with Meta’s reason), it cannot create or edit the template for you. Sending by WhatsApp stays disabled until the status here shows approved.
